Privacy notice

This notice explains how the Caribbean & African Health Network uses the information you give us through the Health Hour website.
Who we are
Health Hour is a programme of the Caribbean & African Health Network CIC (CAHN), a company registered in England and Wales, company number 10845632. Our address is Transformation Community Resource Centre, 1st Floor, Richmond House, 11 Richmond Grove, Manchester M13 0LN.
CAHN is the controller of your information. If you have a question about your information, email healthhour@cahn.org.uk.
If you register to attend Health Hour
What we collect: how many people you are registering, your first and last name, email address, phone number if you give us one, and either the first part of your postcode (for example M4) or, if you live outside the UK, your country. We also record which Health Hour session you registered for.
Why we use it:
- To email you the Zoom details for Health Hour.
- To check the name you join with matches your registration, so only registered people can join on Zoom.
- To understand which parts of the UK, and which countries, Health Hour reaches. We use the first part of your postcode only, never your full address.
- To email you about future Health Hour sessions, if you ticked that box.
Our lawful basis: our legitimate interests in running Health Hour, for sending you the joining details, checking names at the door and understanding where the programme reaches. For emails about future sessions, your consent, which you can withdraw at any time.
If you offer to volunteer as a guest speaker or host
What we collect: your name, email address, phone number, the town or city where you are based, your profession, your special interest, whether you would like to speak, host or both, any comments you add, and, if you choose to share them, your Instagram, LinkedIn and X details. You can also tell us your heritage, which is optional.
Why we use it: to consider your offer, contact you about topics and dates, arrange your session and send your speaker briefing, and to tag you when we promote your session if you gave us your social media details.
Your heritage: we ask about your heritage because Health Hour features Black healthcare professionals. Heritage is information about your ethnic origin, which the law treats as special category data. It is optional. We only keep it if you tick the separate box that says so, and we use it only to arrange Health Hour sessions. If you do not tick that box, we do not keep it.
Our lawful basis: your consent for your contact details, and your explicit consent under Article 9(2)(a) of the UK GDPR for your heritage. You can withdraw either at any time by emailing healthhour@cahn.org.uk.
Keeping out automated spam
To stop automated spam, our forms use Cloudflare Turnstile, a check that runs in your browser when you use a form. It helps confirm a real person is sending the form. Cloudflare processes technical information about your browser and connection to do this. We do not see or keep that information. The check may set a cookie in your browser to remember that you have passed it. It is not used to track you.
We also keep a short-lived technical record of how often a connection sends a form, so we can block repeated automated sending. It is stored as a scrambled value, never your address, and it is deleted within 24 hours.
Who handles your information for us
We use trusted service providers to run the website and send emails. They only use your information on our instructions.
- Cloudflare hosts the website, stores form submissions in a database and runs the spam check. The database is in Western Europe.
- Resend sends the confirmation email with your Zoom details.
- The provider that runs CAHN's email delivers messages sent to healthhour@cahn.org.uk.
Cloudflare and Resend are based in the United States and may process your information there. They are certified under the UK Extension to the EU-US Data Privacy Framework, which is the safeguard we rely on for that transfer.
Only named Health Hour team members can see submissions, through a private admin page that requires a sign-in.
We do not sell your information, and we do not share it with other organisations for their own marketing.
Zoom, YouTube, LinkedIn and Facebook
When you join Health Hour on Zoom, or watch on YouTube, LinkedIn or Facebook, those companies' own privacy policies apply to what they collect.
Videos on our website do not load from YouTube until you press play. When you press play, the video plays from youtube-nocookie.com and YouTube's privacy policy applies.
Cookies
The Health Hour website does not use cookies for advertising or analytics, and we do not track you across other websites. The only cookie that may be set is the one from the spam check described above. We also store one number in your browser, so the site can tell you when the session has changed. It stays on your device, it does not identify you, and we never see it. If we add analytics in future, we will update this notice and ask for your consent where the law requires it.
How long we keep your information
- Registrations: 12 months after the last session you registered for.
- Volunteer offers: 24 months after we last contacted you, or until you ask us to delete them.
- Confirmation emails: Resend keeps a record of sent emails for up to 30 days.
- Spam check records: deleted within 24 hours.
Your rights
You have the right to:
- ask for a copy of your information
- ask us to correct it
- ask us to delete it
- ask us to limit how we use it, or object to how we use it
- withdraw your consent at any time, where we rely on consent

Changes to this notice
We will update this notice if the way we use your information changes. The date at the top shows when it last changed.
